What your configuration involves
- Document, proposal and quote flows need dedicated build and testing. A flow like this usually takes a few weeks to implement.
- A large archive is indexed and validated separately, so it is a project in its own right. After that, the assistant answers only from your materials, never from guesswork.
- Email replies need a connection to your inbox and reply flows built around your processes, so they are scoped as a custom project.
- An in-house system can only be estimated after a technical review. It is usually the largest part of the implementation.
- Every language is configured and tested separately.
- Sensitive data calls for dedicated infrastructure: as a rule a separate database that is yours alone, with secured access and full GDPR compliance, for complete isolation. On medical projects we also provide an audit log, where that is warranted.
- At your volume you need more parallel calls and headroom for busy hours, so we size the system separately, on your real numbers.

What makes a virtual assistant cost more or less?
Three things move the price: the minutes you use each month, the number of channels the assistant covers, and how complex your systems are. An assistant that answers questions and takes messages costs far less than one writing into your booking software or reading documents.
What does the standard setup include?
On standard configurations, setup is part of the subscription. You get the dedicated phone number, a natural voice, the conversation scripts written together with you, the dashboard with calls and transcripts, plus GDPR and AI Act documentation. The one exception is loading a full catalogue of services or products, which carries a one-off start-up cost shown separately by the calculator. Beyond that, all that is left is the monthly subscription, priced on included minutes.

When does it become a custom project?
A configuration leaves the standard zone when the assistant works with documents and quotes, replies to email or connects to an in-house system, when it handles sensitive data, when it speaks three or more languages, or when it goes past roughly 3,000 minutes a month. For projects like these we start with a technical review, and the build is billed as implementation.

Why do we not show a fixed price?
Because a fixed number on a website would only be honest for one single customer. Two businesses with identical call volumes can cost different amounts, if one only needs information and the other writes into a booking system. We would rather show you the range and the reasons behind it.

For a standard configuration, the monthly subscription usually sits between €100 and €650, depending on included minutes and channels. Configurations that need in-house system integration or handle sensitive data move into the custom project zone, with a separate implementation component.
Not on standard configurations: setup is part of the subscription, together with the dedicated number, the conversation scripts, the dashboard and the compliance documentation. There is one exception: loading a full catalogue of services or products carries a one-off start-up cost, which the calculator shows separately. A project implementation cost appears only in the custom range, where there is a technical review and a dedicated build.
Extra minutes are charged separately, at a per-minute rate set in your quote. Nothing stops and no calls are lost. If you go over month after month, we suggest a package with more included minutes, which works out cheaper than paying per minute.
A standard configuration is ready within a few weeks of us having the information about your services and hours. Projects with in-house integrations take longer, because they include the technical review and testing on your own data.

Standard configurations have no minimum contract: you can cancel at any time, and your subscription runs to the end of the month you have already paid for. Custom projects carry a minimum term set in the quote, usually between three and twelve months, because they include an implementation investment. Annual payment comes with a 10% discount.
The ranges are shown in euro. Invoices are issued in Romanian lei, at the National Bank of Romania rate on the invoicing date.
