How much does a virtual phone assistant cost?

The price of a virtual phone assistant follows three things: how many calls you take, what the assistant actually handles for you, and which of your systems it has to reach. Answer a few questions in the calculator below and you will see the price range for your business right away.

What makes a virtual assistant cost more or less?

Three things move the price: the minutes you use each month, the number of channels the assistant covers, and how complex your systems are. An assistant that answers questions and takes messages costs far less than one writing into your booking software or reading documents.

Minutes per month

A practice taking ten calls a day and one taking seventy should not pay the same. That is why included minutes are the first thing we settle.

Channels

Phone is the base. WhatsApp adds written messages, and email is scoped separately, as a custom project.

Your systems

A calendar link is simple. An in-house management or clinic system needs a technical review before any figure.

Privacy requirements

If the assistant touches medical or financial data, the infrastructure becomes dedicated rather than shared.

What does the standard setup include?

On standard configurations, setup is part of the subscription. You get the dedicated phone number, a natural voice, the conversation scripts written together with you, the dashboard with calls and transcripts, plus GDPR and AI Act documentation. The one exception is loading a full catalogue of services or products, which carries a one-off start-up cost shown separately by the calculator. Beyond that, all that is left is the monthly subscription, priced on included minutes.

Your dedicated number

Take one from us, or keep your own and forward calls to it.

Conversation scripts

We write them together, starting from the questions you field every day.

Your dashboard

Every call, its transcript, and what the assistant handled without you.

Compliance documentation

Caller notice, processing record and the AI Act requirements.

If you would rather see what it actually solves first, read what AI for customers means in a small business and come back to the budget after.

When does it become a custom project?

A configuration leaves the standard zone when the assistant works with documents and quotes, replies to email or connects to an in-house system, when it handles sensitive data, when it speaks three or more languages, or when it goes past roughly 3,000 minutes a month. For projects like these we start with a technical review, and the build is billed as implementation.

Technical review

We look at your systems and establish what can be connected, and how.

The build itself

Complex flows are built and tested separately, on your own data.

Verification

We test the assistant on real scenarios and tune it on your feedback, because nobody knows your customers better than you do.

Your subscription

After implementation a monthly subscription remains, as with any configuration.

How it works, which channels it answers on and what it connects to are all on the virtual phone assistant service page .

Why do we not show a fixed price?

Because a fixed number on a website would only be honest for one single customer. Two businesses with identical call volumes can cost different amounts, if one only needs information and the other writes into a booking system. We would rather show you the range and the reasons behind it.

See the result without giving details

The calculator never asks for your email. You share your details only if you want the written quote.

See what pushes the price up

Every choice that widens the range comes with its explanation, not just a number.

The quote stays the only firm figure

Once we discuss volumes and systems, you get an exact price in writing.
